Personal Assistant

We are looking for a highly organised, proactive, and professional Personal Assistant to provide executive, administrative, operational, and personal support to the Directors within a fast-paced luxury retail environment. This is a varied and dynamic role that requires excellent organisational skills, discretion, and the ability to manage multiple priorities while ensuring the smooth day-to-day running of business operation.

Key Responsibilities

  • Providing trusted, high-level support to the Directors by managing priorities and anticipating requirements.

  • Supporting decision-making through organization of information, follow-ups, and coordination.

  • Managing end-to-end travel arrangements including flights, hotels, transfers, visas, and detailed itineraries.

  • Coordinating complex international travel schedules and last-minute changes.

  • Managing complex calendars, scheduling meetings across multiple time zones.

  • Preparing agendas, taking detailed meeting minutes, and tracking action items.

  • Coordinating internal and external meetings, including showrooms and business appointments.

  • Coordinating with maintenance teams, cleaning companies, and external vendors to ensure all stores and offices operate efficiently.

  • Proactively identifying operational issues and ensuring timely resolution.

  • Liaising with suppliers and service providers to maintain high operational standards.

  • Managing orders for office supplies, cleaning products, and operational materials.

  • Monitoring inventory levels and coordinating with suppliers.

  • Managing contracts, agreements, invoices, and important documentation.

  • Maintaining structured digital and physical filing systems.

  • Acting as a primary point of contact between the Directors and internal/external stakeholders.

  • Coordinating with partners, landlords, service providers, and showrooms.

  • Managing personal tasks, external errands, and time-sensitive requests.

  • Supporting both professional and personal matters to optimize the Directors’ time.

  • Taking initiative to improve processes and workflows.

  • Managing multiple priorities independently with minimal supervision.

What we re looking for:

  • Diploma or degree in Office Management, or a related field is an advantage.

  • Experience in a Personal Assistant or Executive Assistant role, preferably supporting senior executives will be considered an advantage.

  • Exceptional organisational and time management skills.

  • Strong written and verbal communication abilities.

  • High level of discretion, professionalism, and trustworthiness.

  • Ability to anticipate needs and work proactively.

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Comfortable using digital calendars, communication, and document management tools.

  • Fluency in English is required; any additional language will be considered as an advantage.
